Templates for bulk orders (more than 6 articles)

These instructions will result in an output for use in the members and institute members’ request forms (’upload a file of requests’ option).

 

Using a reference manager program (formatting photocopy requests for uploading to BMA library using EndNote, Procite, Reference Manager) 

If you use a reference manager program and would like to generate a file suitable for bulk journal article requests from the BMA library, we have created output styles for the three most common programs. In general once you have followed these options the program will use them the next time as default.

1. Generate the list in the BMA format

 

Using EndNote 7 (also tested on Version 5):

1. Save the file above to your computer disk in the EndNote 7 styles folder: C:\Program Files\EndNote\Styles\BMAendnote7.ens. On most computers you will just need to click on the file icon and the system will prompt you for a save location.

2. Open your EndNote database and mark the references you would like the BMA library to supply.

3. Generate the bibliography.

If you have configured Microsoft Word to import references (the following also applies to EndNote5):

  • Select Tools - EndNote 7 - ’Insert Selected Citations’. Then;
  • Select Tools - EndNote 7 - ’Format Bibliography’. (this stage is only needed the first time)
  • Make sure you select the BMAendnote7 style in the EndNote Format Bibliography dialog box. This will only appear if you have at one time selected it within EndNote (see alternatively ... below)
  • Ensure that the requirements in the notes below are met on the ’layout’ tab
  • Click OK.
  • Highlight and copy the references, making sure there are no spaces before the first REF and after the last LOC.
  • Go to the file upload instructions.

Alternatively save within EndNote:

 

In EndNote 7:

  • Select Edit - Output styles - tick against BMAendnote7 - close. You may need to ’Open Style Manager’ to select it.
  • Select File - Export - navigate to preferred file folder, type in a name and Save.
  • Open the saved file, and highlight and copy the selected references. Make sure there are no spaces before the first REF and after the last LOC.
  • Go to the file upload instructions.

 

In EndNote 5:

  • Select File - Output styles - Open style manager - tick against BMAendnote5 - close and save. Then select Output styles and tick against BMAendnote5, which will have appeared on the lower list.
  • Select File - Export - navigate to preferred file folder, type in a name and Save.
  • Open the saved file, and highlight and copy the selected references. Make sure there are no spaces before the first REF and after the last LOC.
  • Go to the file upload instructions.

 

Using ProCite 5

BMAprocite 5 

1. Save the file above BMAprocite 5 to your computer disk in the Procite 5 styles folder: C:\Program Files\ProCite5\Styles\BMAprocite5.pos. On most computers you will just need to click on the file icon and the system will prompt you for a save location.

2. Open ProCite 5 and mark the references you would like the BMA library to supply.

3. Generate the bibliography.

If you have configured Microsoft Word to import references:

    • Select Tools - ProCite 5 - ’Insert Marked References’. Then;
    • Select Tools - ProCite 5 - ’Generate Bibliography’
    • Make sure you select the BMAprocite5 style from the drop down menu in the Configure Bibliography dialog box.
    • On the same tab, ensure that the requirements in the layout notes below are met.
    • Click OK.
    • Highlight and copy the references, making sure there are no spaces before the first REF and after the last LOC.
    • Go to the file upload instructions.

 

Alternatively save within ProCite:

In ProCite 5:

    • Select File - Print bibliography.
    • Select Show: Marked Records and Output Style: BMAprocite5 from the drop down menu.
    • Click Configure and check the layout notes below.
    • Click Save, navigate to the preferred file folder, type in a name and select Save.
    • Open the saved file, and highlight and copy the selected references. Make sure there are no spaces before the first REF and after the last LOC.
    • Go to the file upload instructions.

 

Using Reference Manager 10

 

 

 

BMAreman 10

1. Save the file above BMAreman 10 to your computer disk in the Reference Manager 10 styles folder: C:\Program Files\Reference Manager 10\Styles\BMArefman10.os. On most computers you will just need to click on the file icon and the system will prompt you for a save location.

2. Open Reference Manager 10 and mark the references you would like the BMA library to supply.

3. Generate the bibliography.

If you have configured Microsoft Word to import references:

    • Select Tools - Reference Manager 10 - ’Insert Marked References’. Then;
    • Select Tools - Reference Manager 10 - ’Generate Bibliography’ (this stage is only needed the first time)
    • Make sure you select the BMAendnote5 style from the drop down menu in the Reference Manager Generate Bibliography dialog box.
    • On the same tab, ensure that the requirements in the layout notes below are met.
    • Click OK.
    • Highlight and copy the references, making sure there are no spaces before the first REF and after the last LOC.
    • Go to the file upload instructions.

Alternatively save within Reference Manager:

 

In Reference Manager 10:

  • Select Bibliography - Generate from Reference List
  • In the Bibliographic Setup dialog box select the ’marked references’ option and the BMArefman10 output style. If necessary click on the ’...’ button to navigate to the BMArefman10 file.
  • Click on the ’bibliography’ tab, check the layout notes below and then select OK.
  • Navigate to the preferred file folder, type in a name and Save.
  • Open the saved file, and highlight and copy the selected references. Make sure there are no spaces before the first REF and after the last LOC.
  • Go to the file upload instructions.

 

Using Word to format photocopy requests

You can download a Word file above to help generate a file suitable for bulk journal article requests from the BMA library.

1. Begin by positioning your cursor after REF:

2. Enter the necessary details

3. Press the down arrow key on your keyboard to move down the list of tags, entering further details as you go. If you leave a tag blank you may also find that you have to move across one, with the right arrow on your keyboard, before entering the details for the next tag.

4. Once you get to the end of list of tags press your ’insert’ key to generate another set of tags for the next item to be ordered.

5. Postion your cursor after REF: for the new set of tags and follow the same sequence of steps again .. as many times as necessary.

6. Once all the items are entered copy and paste the text (being sure not to include any hard returns at the beginning or end of your copied/pasted text) into the web form.

 

Upload your requests to the BMA library

1. Log on to the BMA website.

2. Select use our services from the library menu and select your category (members or institute members).

3. In the ’upload a whole file of requests to the BMA library’ form, paste the references into the appropriate box and fill in the other information as requested.

4. Click on the ’submit’ button.

5. Wait for the response from the system to confirm or reject your requests.

 

Formatting tips

Important layout requirements:

  • Reference List has no title
  • The ’line spacing’ box is set at ’single’
  • ’Space after’ box is set at ’none’
  • ’Number bibliography’ is NOT checked
  • ’First line indent and ’hanging indent’ set at 0

The fields REF, SUP and LOC are non-standard for bibliographic software. To make the styles robust, we have avoided using existing fields in case you use them for something else. REF (your reference), SUP (supplement) and LOC (BMA library location) have been left blank. If you would like to add these, please do so at the final stage, or create your own field definitions.
